1.1 Standardization of archival description is one of the foundations for realizing the modernization of archival work. In order to establish and improve my country's unified archival search system, carry out archival reporting and exchange, and give full play to the role of archives in my country's socialist construction, these technical rules are formulated. 1.2 This standard is formulated in accordance with the principles of GB3792,183 "General Rules for Document Description", combined with the characteristics of archives and the actual situation of my country's archival work.
1.3 This standard is the basis for the description of various archives. Some archives with extremely special content and form can formulate detailed rules in accordance with this standard.
1.4 This standard does not include the method of organizing archive catalogs. 2.1 Archives: Historical records in the form of text, graphics, sound and images directly formed by state institutions, social groups and individuals from political, economic, scientific, cultural and other social practice activities. 2.2 Files: A group of closely related single documents, sometimes called archives storage units. 2.3 Archives recording: The process of analyzing, selecting and recording the content and form characteristics of archives when compiling archives catalogs. 2.4 Recording items: Record items that reveal the content and form characteristics of archives. 4.1.1 Each recording item of a technical standard shall be preceded by a specific identifier. Each person item (except for the title and responsible person item, sorting and numbering item, and abstract item) shall be listed in parallel.

4.1.2 Description of country identifiers of recorded items

5.3 Description of recording format
5.3.1 The recording format of file-level and file-level items can be divided into card-style and book-style according to their carrier forms. 5.3.2 The card-style recording format divides the recording items into four paragraphs. In the first paragraph, the classification number and file number are recorded in the first and second lines in the upper left corner of the card respectively. The archives (room) code and microfilm number are recorded in the first and second lines in the upper right corner of the card respectively. The second paragraph starts from the line below the file number and is recorded in the same place as the file number. The title and the author, the text, the classification level and the retention period, the time, the form, the editing and the notes are recorded in sequence. When each item is returned to the next line, it is recorded in the same place. The third paragraph is the subject word, which is recorded in the same place on a new line. The fourth paragraph is the summary, which is recorded in the same place on a new line with two spaces, and is recorded in the same place as the first, third and fourth paragraphs when the line is returned. 5.a.3 If the front of the card is not complete, you can continue to record on the back. 5.3.4 The card size is 12.5cm×7.5cm. 6 Recording level of detail

10 Details of Recording Items
10.1 Title and Responsible Person Items
Management. The title is a name that directly expresses the characteristics and central theme of the archive content and distinguishes it from another archive. The responsible person refers to the group or individual who created the archive content and is responsible. 10.1.1 Main title
The main title of the archive, generally refers to the title at the beginning of a single document and the title country name on the file cover. The main title is recorded as written. 10.1.2 Parallel title
A title written in a second language and written in parallel with the main title. If necessary, the parallel title is recorded together with the main title. A "=" sign is added before the parallel title.
10.1.9 Subtitle and explanatory title text
10.1.3.1 Subtitle: Another title that explains or is subordinate to the main title. The subtitle is recorded as written. When the main title can reflect the content of the archive, the subtitle does not need to be recorded. A "," sign is used before the subtitle. 10.1.32 Explanatory title text: refers to the explanatory text about the content, scope, purpose, etc. of the archive before and after the title. It is recorded as written and a "," sign is added before it.
10.1.4 Single document without a title
Write a title based on its content and add a "了" sign. 10.1.5 Files with ambiguous titles 10.1.5.1 When the title of a single file cannot reveal the content, the original title shall be recorded as is, and a new title shall be prepared based on the content and attached with a "(1".
10.1.5.2 When the file title cannot reveal the content of the file or the title is too long, it should generally be rewritten and the original file title shall be revised before recording.
10.1,6 File numbering
The file number is the serial number compiled by the issuing agency, group or individual during the document issuance process, including the document issuance number, drawing number, etc. The file number is recorded as the original text and symbols, with a " in front of it. For example:

10.1.7 Media type identification

10.1.11 Individuals responsible
10.1.11.1 For individuals responsible, only the name is usually recorded. If necessary, the position is recorded after the name and a "()" is added. For example, Wu Xueqian (Minister of Foreign Affairs):
10.1.11.2 When the individual responsible for the document is an alias, pen name, etc., it shall be recorded as the original text, but the real name shall be attached and followed by a "()". For example, Mao Dun (Shen Bing)
10.1.11.3 The recording of individual responsible persons in the Qing Dynasty and before is the same as that in 10.1.10.2 of this article. 10.1.11.4 For foreign responsible persons, the country abbreviation that is easy to identify in each historical period shall be recorded, including the Chinese translation of the surname, the original meaning of the surname and the abbreviation of the given name. 10.3 Classification and Storage Period Item
10.3.1 Classification
Generally, the classification is recorded according to the classification determined when the file was formed. For those that have been upgraded, downgraded, or declassified, the new classification should be recorded with a ", -" in front of it. 10.3.2 Storage Period
10.3.2.1 Generally, the storage period is recorded according to the storage period determined when the case file was formed. For those that have been changed, the new storage period should be recorded with a "," in front of it.

10.4 Time Item
The time item is divided into the file formation time at the file level and the start and end time of the file in the case file at the case file level, depending on the recorded object. Both are preceded by a ", -".
10.4.1 The time of formation of documents
Generally, the time of issuance is the time of issuance for public and private documents and letters, the time of passing or issuing is the time of resolutions, decisions and orders, the time of signing is the time of signing for treaties and contracts, the time of preparation is the time of preparation for report plans, and the time of designation for engineering and product drawings, etc. GB 3792.5—85

10.5 Carrier form item
Carrier form item records the material form characteristics of the archive carrier. 10.5.1 Quantity unit
Quantity is recorded in Arabic numerals, and the unit is the statistical unit of the archive material form, such as: "page", "volume", "volume", "box", etc. Add "一号" in front of it when recording.
10.5.2 Specifications
refers to the size and model of the archive carrier, etc., and are preceded by a "+" sign when recorded. For example,

10.5.3 Attachments
10,5.3,1 refers to additional materials after the main text of the document. A series refers to a series of documents of the same type and number published under a general title. Generally, the series title is recorded according to the original meaning, and the content of the record is interspersed with ten "()" numbers, and "1" is added before the "()" number. 10.9 Abstract Item
