This standard specifies the file organization, compilation, and file cover specifications of scientific and technological archives and the quality requirements of the materials used. This standard applies to the file management of general scientific and technological archives. The file requirements of certain special forms of scientific and technological archives can refer to this standard.
2 Terminology
2.1 Scientific and technological archives refer to historical records in different forms such as text, charts, audio and video that are directly formed in scientific and technological activities and should be archived and have preservation value.
2.2 Scientific and technological documents are the general term for technical documents such as text, charts, audio and video that record and reflect scientific and technological activities. 2.3 Archives refer to a kind of archive storage unit that combines the following documents that are related to each other. 2.4 In-volume directory A record of the registered documents in the file and their arrangement order. 2.5 In-volume preparation table A table that explains the status of the documents in the file. 2.6 File number The number of the file. Including classification number, project code, and file number. 2.7 Project code The code or code of the product, project, subject, and equipment. a Requirements for filing
3.1 Filing should follow the formation rules of scientific and technological documents and materials, maintain the systematic connection of scientific and technological documents and materials in the file, and facilitate the use and storage of archives.
3.2 Products, scientific research projects, infrastructure projects, equipment and instruments should be filed separately according to their components, structures, stages, etc. 3.3 General documents that are closely related to products, scientific research projects, infrastructure projects, equipment and instruments should be listed in the category of products, scientific research projects, infrastructure projects, and equipment and instruments.
3.4: It is necessary to ensure that the scientific and technological documents and materials reflecting the problems in the file are complete. 3.5 The scientific and technological documents and materials in the files must accurately reflect the true content of production, scientific research, infrastructure and related management activities. 3.6 The production and writing of scientific and technological documents and materials in the files must be conducive to long-term preservation. 4 Arrangement of scientific and technological documents and materials in the files
41 Products are arranged according to the work process of design (including preliminary design, technical design), trial production, small batch production trial production, mass production, product excellence, etc., and can also be arranged according to their product series, structure (components or components). .2 Research topics are arranged according to the time stages such as preparation stage, research and experimental stage, summary and appraisal stage, results application and promotion and application.
4.3 Infrastructure projects are arranged according to the basis materials, basic materials, engineering design (including preliminary design, technical design, implementation design), engineering construction, engineering completion acceptance, etc.
4.4 Equipment is arranged according to the basis materials, equipment unpacking acceptance, equipment installation and commissioning, equipment operation and maintenance, random drawings, etc. Random drawings Approved by the State Administration of Technical Supervision on October 25, 1989, and implemented on July 1, 1990
Samples can also be grouped separately
GB/T 1182289
4.5 Administrative scientific and technological documents and materials are arranged by topic, time or importance. .6 The arrangement of scientific and technological documents and materials in the case file requires that the text materials are in front and the drawings are in the back. 5 Cataloging of the case file
5.1 Compilation of the case file page number
5.1.1 The scientific and technological documents and materials in the index file are numbered according to the page with the content. 5.1.2 Page number arrangement: The page number of scientific and technological documents and materials written on one side is written in the lower right corner: The page number of scientific and technological documents and materials written on both sides is written in the lower right corner on the front and the lower left corner on the back. 51.3 The cover of the case, the monthly report in the volume (except for the original drawing list), and the preparation table in the volume are not numbered. 5.2 Preparation of the file cover
5.2.1 The file cover can be in the form of an outer cover and an inner cover. The outer cover is printed on the front surface of the file cover, and the inner cover is arranged before the date in the file. The outer and inner covers are ready, see figure! 5.2.2 Volume title The volume title should concisely and accurately reveal the content of the scientific and technological documents and materials in the volume. The main content of the file title includes the name, code, code of the month and the code and name of its components, parts, and stages. 5.2.3 The preparation unit shall fill in the form of the scientific and technological documents and materials in the file or the main responsible person: 5.2.4 Preparation period The start and end dates of the scientific and technological documents and materials in the file. 5.2.5 The storage period shall be filled in according to the designated storage period.
