3 Terms and Definitions
The following terms and definitions apply to this document. 3.1
Climatic feasibility demonstration
Climatic feasibility demonstration Analysis and assessment of the climate suitability, risk and possible impact on the local climate of planning and construction projects closely related to climate conditions.

4.1 Management
4.1.1 Basic Information
Should include the "Climate Feasibility Project Basic Information Record Form" (see Appendix A) that records the name, source, start and end time, main work content, participants and other information of the climate feasibility demonstration project. 4.1.2 Agreement
Should include the binding contract established by consensus between the climate feasibility demonstration agency and the user (organization, unit, individual), including but not limited to contracts, agreements, bidding documents and related memoranda, minutes, etc. 4.1.3 Operation Records
Should include the "Climate Feasibility 1

Demonstration Project Operation Record Form" (see Appendix B) that records the main time nodes and events in the operation of the climate feasibility demonstration project in chronological order, as well as related supporting documents. The main time nodes and events include the establishment of the combination, observation operation, data management, result submission, review meeting, supervision management and important changes, etc. Important changes include changes in project leaders, main division of labor personnel, task requirements, important technical routes, completion time and their reasons. 4.1.4 Review meeting
Should include the meeting notice of the climate feasibility demonstration project review meeting, expert list and signature sheet, meeting attendance sheet, review opinions or meeting minutes, etc.
4.1.5 Others
Should include records and vouchers of climate feasibility demonstration project supervision and inspection, quality evaluation and service complaints. 4.2 Observations and data
The documentation materials of observations and data shall include: a) Documents and materials generated during the activities of site determination, instrument selection and calibration, acceptance, filing, observation and monitoring duty, and observation data submission of the on-site meteorological observation station of the climate feasibility demonstration project; b) All observation data used in the climate feasibility demonstration project and the "Climate Feasibility Demonstration Project Observation Information Record Form" (see Appendix C) that records the observation station site, observation instrument settings, sources, start and end times, data volume, etc.; c) Background information of the climate feasibility demonstration project; d) Survey outline, survey form and survey results of the climate feasibility demonstration project; and important intermediate results and data of the calculation process. e)
4.3 Report
Should include the work outline of the climate feasibility demonstration project, the quality assurance outline and the climate feasibility demonstration report (including the final report and several important versions in the middle) provided by the climate feasibility demonstration agency to the user (organization, unit, individual), etc. 4.4 Archiving list
Should include the record file "Climate Feasibility Demonstration Project File Archiving Record Table" (see Appendix D) generated when archiving the climate feasibility demonstration project files
5 Archiving management
5.1 Principle
5.1.1 The climate feasibility demonstration agency is responsible for the formation and management of archiving files. 5.1.2 A dedicated person should be responsible for archiving files, and the archived files should be true, accurate and complete. 5.1.3 The formation of archiving files should be synchronized with the work procedures of the climate feasibility demonstration project. The latest completion time of file archiving should be no later than one month after the project acceptance.
5.1.4 The arrangement, trimming, binding, pagination, boxing, shelving, filing and storage of paper documents shall be carried out in accordance with DA/T22-2015; the identification, arrangement, filing, transfer, receipt and storage of electronic documents shall be carried out in accordance with GB/T18894-2016 and DA/T22-2015. 5.2 Storage period
The storage period of archived documents shall not be less than the design service life of the climate feasibility demonstration project. 2
5.3 Confidentiality

The climate feasibility demonstration agency shall manage the confidentiality of the climate feasibility demonstration archived documents in accordance with the confidentiality requirements of the climate feasibility demonstration project contract and the relevant confidentiality management systems and regulations formulated by the state, local governments and departments. 5.4 Remediation and Support
Missing archived files should be remedied and archived in a timely manner, and notes should be made. 5.4.1
5.4.2 If missing archived files cannot be remedied, relevant supporting materials should be collected in a timely manner for archiving management, and notes should be made when archiving. 3
